DMI Technologies is currently looking for an Office Manager with a with a strong accounting/bookkeeping background who can multitask, communicate and manage time well . - This role will provide an excellent opportunity to build on your accounting skills with data entry, processing , reconciling, purchasing , and recording transactions. The Office Manager - should understand basic accounting principles and be proficient with software such as MS Excel, Word, and office related software . Construction software experience a plus.

Duties & Responsibilities : The statements below are intended to describe the general nature and scope of work being performed by this position. This is not a complete listing of all responsibilities, duties and/or skills required . Additional responsibilities may also be assigned.
Monthly project billings/pay applications, including AIA pay applications
Tracking customer payments/collections and posting deposits
Knowledge of cost accounting required , tracking monthly reports, and working with project managers on specific job tasks
Tracking Lien rights, sending notices, and filing Liens in a timely manner
Keep up with Sales and Use Tax laws and payment requirements
Work well with company leaders, project managers and others in accounting department
Work with Sales Team on customer and contractor prequal forms
Performing office tasks such as electronic document filing, data entry, processing mail, etc.
Handling communications with clients, vendors via phone, email, and in-person
Processing transactions , updating project budgets, purchase orders
Handle all customer invoice and vendor invoice discrepancies to resolution
Review and approve accounts payable invoices, matching to the purchase order
Select invoices to be paid on a weekly basis per contract terms
Knowledge of Sage/Timberline preferred but not required

Working Conditions
Mainly office but may also include all other work environments as required : sit, stand, talk, hear, use hands and fingers to operate a computer keyboard and telephone.
Work is generally performed in climate-controlled office environment.
Primary environment: ambient room temperatures, lighting, and traditional office equipment as found in a typical office environment.
Considerable time is spent at a desk using a computer terminal.
May on occasion be exposed to loud sounds and distracting noise levels, such as from office equipment.
Can be exposed to hazardous materials, loud noises and extreme heat/cold temperatures, if visiting job sites or other off-site events.
Can be exposed to Heavy Equipment, slippery surfaces, uneven footing on the jobsite
Moderate noise ( i.e. business office with computers, phone, and printers, light foot traffic).

Physical Function
Repeat the same mental activities.
Ability to operate a keyboard at efficient speed and typical business office equipment, including computer hardware.
Regularly required to talk and/or hear; use hands to operate objects, tools or controls (phone, computer, printer etc.); and reach with hands and arms.
Work performed causes fatigue of eyes, fingers and other facilities because of continuous use of motor senses.
Vision and hearing at or correctable to normal ranges.
May be occasionally be asked to lift, stoop, kneel, and/or move objects up to 25 pounds.
While performing the duties of this job, the employee is regularly required to stand, sit, talk, hear and use hands.
Regular, predictable attendance is required .
Be able to work overtime/weekends when required

Accounting Qualifications:
Knowledge of Accounts Payable / Accounts Receivable practices -
Experience with Payroll accounting
Working knowledge of how data works within accounting software ( Quickbooks / Sage / Oracle / Etc )
Big picture perspective - ability to identify process improvement areas
Minimum 5 years of accounting experience
Construction Accounting strongly preferred
Knowledge of Sales and Use Tax principles
Experience with Invoicing / Billing
Knowledge of Microsoft Office products

Compensation commensurate with experience.
