Department Summary

The University of North Texas at Dallas College of Law invites applications for the position of Senior Administrative Associate.

The UNT Dallas College of Law is a public law school in downtown Dallas with a full-time day division and a part-time evening division. The College of Law's goals are: (1) widening access to legal education for those who could be superb legal professionals but who cannot realistically access a legal education given factors including location, cost, and the current role of the LSAT in admission to and financing of law school; (2) providing an educational program focused on excellence in developing practice-related competencies, through a curriculum mapped to those competencies and using best instructional practices, including multiple formative and summative assessment throughout, engaged class design, and a spectrum of experiential education; (3) creating opportunity for our students by keeping tuition and debt low and producing graduates with high value and ability in multiple segments of the market for legal services; (4) becoming a national leader in advancing understanding of best legal education practices, of professional formation, and of the relationship between legal education and the evolving practice and business of law; (5) improving access to justice for underserved legal needs; and (6) serving as a valuable partner in civic engagement with the City of Dallas and the North Texas region.

Position Overview

This position is responsible for receptionist duties which includes welcoming and directing visitors (e.g. students, faculty, staff, attorneys and judges, donors, university officials, elected officials, and others) by greeting them in person or on the telephone, and for answering or referring inquiries. Responsible for routine administrative support that may include inventory, developing/creating correspondence, account reconciliation, event scheduling, purchasing, data collection, meeting logistics, payroll, and travel vouchers. Position duties require some independent judgment and decision-making; resolves routine questions where problems have occurred before and their solutions generally are familiar; and refers more complex issues to higher levels.

Minimum Qualifications

High School diploma/ GED equivalent three (3) years of general office or clerical experience; or any equivalent combination of education, training, and experience.

Knowledge, Skills and Abilities

---Basic MS Office skills.
---Ability to problem-solve and make decisions.
---Ability to effectively communicate.
---Knowledge of policies, practices, procedures, and terminology of assigned function.
---Skill in composing routine letters and preparing reports.
---Skill in recording and compiling material for reports.

Preferred Qualifications

The preferred candidate will possess the following additional qualifications:

Bachelor's Degree in related field and 5 years of progressively responsible office administration experience.

  • Knowledge of Canvas.
  • Knowledge of Symplicity or other career services databases.
  • Considerable knowledge of university policies and procedures related to functional area (or ability to rapidly assimilate)
  • Exceptional problem solving skills
  • Ability to communicate effectively with diverse populations verbally and in writing
  • Ability to develop and maintain effective working relationships
  • Ability to work independently
  • Ability to act with considerable initiative.
  • Knowledge of safety and security precautions appropriate to work performed.

    Job Duties

    o

    Promptly completes assignments and keeps complex calendars for Assistant Dean and all staff who engage in career counseling

    o

    Manages complex calendars/scheduling inventory and maintains event scheduling, appointments, correspondence and files for Assistant Dean and all staff who engage in career counseling activities

    o

    Serves as the first point of contact for all UNT Dallas College of Law students and guests who visit the Office of Career and Professional Development.

    o

    Maintains a positive demeanor when interacting with students, external stakeholders and others.

    o

    Manages, updates and creates Symplicity (or other career services database) records.

    o

    Monitors and executes expenditures within budgets.

    o

    Assists the Assistant Dean and all staff who engage in career counseling in preparation of reports and in responses to official inquires

    o

    Assists the Office of Career and Professional Development in preparation of events and workshops and other large-scale programming

    o

    Provides input and administrative support for proposed programs and operational changes and maintains contact and serves as a liaison with other university offices, students, employers and external agencies as requested.

    o

    Coordinates special assignments and projects.

    o

    Follows appropriate safety procedures and security measures related to work performed.

    o

    Understands and follows rules regarding principles of confidentiality relating to all office and student matters
