Administrative Associate IA Library Media Services Reports to: Director II - Library Media Services PC#: 1004-6 Pay Grade: 103 Salary Range: $26,752 - $33,440 Duty Days: 220 Position Purpose Receives and verifies information for shipments to Library Media Services for all campus library orders, curriculum support resources, and student reading materials intended for circulation through the school library management system. Essential Job Functions Administrative Functions* Maintains current and accurate electronic database of purchase order records for school library purchases; files packing slips and invoices; prepares each box for delivery to campuses.* Retrieves and verifies electronic bibliographic records for each order received and uploads data to correct school library management system.* Physically processes and catalogs materials for addition to school library catalogs. Packs materials for shipment to campuses and prepares delivery tickets.* Continually arranges shipments in mailroom and on loading dock, to separate orders being received from items staged for shipment to campuses.* Responds to telephone and email inquiries regarding status of library orders, add copy requests, patron upload requests, department procedures, and administrative operations for campus librarians.* Assists campus librarians, library clerks, and substitutes in troubleshooting library management software issues and vendor online ordering sites.* Answers incoming calls from employees, community members, and others, and provides general information; refers callers, as appropriate, to other staff or other District personnel.* Prepares periodic reports regarding related program activities.* Operates all office equipment (such as computers, printers, and copy machines).* Maintains office files in a systematic and confidential manner. Travel Requirements* Travels to school district buildings and professional meetings as required. Physical & Mental Demands, Work Hazards* Tools/Equipment Used: Standard office equipment, including computer and peripherals; warehouse equipment such as pallet jack, hand truck and dolly.* Posture: Prolonged sitting; frequent stooping, squatting, kneeling, bending, pushing/pulling, and twisting.* Motion: Frequent repetitive hand motions, including keyboarding, use of mouse, and reaching.* Lifting: Frequent lifting and carrying (20 to 50 pounds).* Environment: Works in an office setting (95%) with occasional duties on loading dock (5%) exposed to weather elements, extreme heat/cold and noise; may require occasional irregular and/or prolonged hours.* Attendance: Regular and punctual attendance at the worksite is required for this position.* Mental Demands: Maintains emotional control under stress; works with frequent interruptions. Minimum Required Qualifications* Education: High School diploma, GED, or Texas High School Equivalency certificate.* Certification/License: None.* Experience: 1 year' office experience required; 3 years' preferred.
