Job Description:
JOB SUMMARY The Graduate Medical Education Institutional
Administrator is part of the GME office responsible for the
oversight of the Residency and Fellowship training programs
according to Accreditation Council on Graduate Medical Education
(ACGME), other regulatory agencies and institutional guidelines.
ESSENTIAL FUNCTIONS OF THE ROLE Assists with monitoring compliance
and updates for programs and the institution withthe ACGME, the
Texas Medical Board, Specialty Boards, and internal policies and
procedures. Assists with preparation for ACGME site visits.Provides
administrative support for the GME office and GME leadership Serves
as liaison to the program administrators. Keeps current with ACGME
requirements and implements policies & procedures to ensure
institutional compliance Support institutional and program
initiatives related to resident well-being, patient safety, quality
improvement, diversity, the learning environment, faculty
development, residents as teachers, housestaff supervision, work
hours, professionalism and other relevant topics. Maintain a deep
understanding of the GME programs by establishing relationships
with the administrative staff, residents, fellows, and program
directors Manages new hire processing of residents and fellows
including credentialing, licensure, contracts and other internal
requirements. Provides support, training and monitoring of the
Residency Management Software. Manages institution wide events such
as Graduation, Orientation and Housestaff Meetings. Coordinates
system standardization among program administrators and programs.
Assists with providing resources to programs. Assists in
coordination of annual events. Coordinates annual evaluations of
residents and fellows; and prepares summary and evaluation of
results for review by the Graduate Medical Education Committee.
Assists in managing Special Review and Annual Institutional Review
processes. Maintains and updates database and master rosters of
residents and fellows to provide current information for decision
making and research purposes. Manages housestaff training
agreements. Coordinates and assists resident and fellow Council and
involvement in committees. Manages Affiliation Agreements and
Program Letters of Agreement for all training programs. KEY SUCCESS
FACTORS Strong interpersonal and communication skills. Ability to
communicate courteously and professionally in all forms of
communication. Ability to plan, prioritize, organize and coordinate
work in situations where demands of a diverse nature and
conflicting deadlines are involved. Ability to work well under
pressure, remain organized and focused and pay attention to detail,
while delivering quality, polite and courteous services. Ability to
work as a team member as well as team leader on respective
projects. Ability to identify problems, recommend solutions,
establish priorities and coordinate work activities. Ability to
work autonomously, independently and be a self-starter and pay
close attention to detail. Proficient with Microsoft Office (Word,
Excel, PowerPoint, Outlook, Access. Etc). Be willing to learn and
